Start with the handler
The operator or broker should supply the FBO or handling agent name. Pass its full name and address to the car team. A chauffeur sent to a public terminal cannot assume access to a separate private aviation entrance.
Check any access reference
Some locations use a permission or access process. Only the handler can confirm where a vehicle may wait or whether airside access is arranged. Include any approved reference in the enquiry rather than leaving the chauffeur to infer it.
Describe who travels together
A principal, family, crew and luggage may leave separately. Count the travellers and cases for each vehicle. If there is a support vehicle, specify who coordinates the two collections.
Plan for moving times
Aircraft times can shift. A change of airfield or FBO is more significant than a small timing adjustment because the road destination for the chauffeur changes. Send confirmed updates promptly.
Give the onward address
The private flight may connect to a central London hotel, an office, Surrey residence or another airport. Include all stops and waiting so the ground leg is priced properly.
